TITLE:     Athletic Director

 

PRIMARY FUNCTION:    To provide overall leadership and coordination of an athletic program that provides an opportunity for students to enhance their learning experience. Work with other members of the school administration to foster the vision principal will supporting the division's strategic plan.

 

QUALIFICATIONS:   

  1. Valid Virginia Teacher Certification (preferred)
  2. Previous coaching experience
  3. Registered Athletic Administrator Certification
  4. Master's Degree in education administration; endorsement in Administration and Supervision, Prek-12-(preferred)

Essential Duties:  Responsible for assessing the school’s athletic program.

 

• Responsible for administering all National Federation, Virginia High School League, Region 2A, Tidewater District, County, and building rules.
• Create, confer, and Submit evaluations of all (44 paid coaches and volunteer coaches) coaches to the principal. The expectation is evaluations are completed for all coaches including volunteers and the forms are submitted to the human resource department.
• Responsible for scheduling all athletic and activity events and entering them on the school website as well as the VHSL mandated scheduling site.
• Entering schedules on the athletic website and maintain the site.
• Responsible for scheduling all transportation, lodging, and meals for regular season away trips and playoffs.
• Responsible for scheduling officials and event staff for all home games, including security.
• Issue all athletic contracts and return signed copies to personnel dept.
• Set up and take down all home game events. The athletic director can flex their schedule on game days to arrive later in the morning. The athletic director could also flex their daily schedule to ensure practices are covered. For example, 9 AM – 5: 30 PM.
• Attend all home events to assure any problems can be corrected promptly.
• Check all transfer students to ensure eligibility.
• Conduct and or attend Parent, Booster, District, Region, and State meetings. To ensure all stakeholders are informed.
• Work with administration, coaches, and officials concerning athlete discipline.
• Coordinate all facility use covering athletics, activities, and other groups on a master schedule.
• Monitor athletes’ academic progress. The athletic director will work with coaches on student progress throughout the season.
• Communicate with payroll event worker pay and the release of coaches’ pay.
• Manage all athletic facilities to include turf management which includes mowing athletic fields, repairs of mowers and irrigation, and maintenance year round.
• Respond to all alarm calls when available.
• Monitor and assign duties to athletic janitor.
• Responsible for the coordination and planning of athletic budgets.
• Plan athletic awards program and order all awards. At the conclusion of each athletic season, the expectation is that there is an athletic award night for all teams to attend.
• Responsible for monitoring all high school fundraising activities.
• Provide athletic insurance information to all athletes.
• Create, implement, and review the King William High School coaches’ Manual. The expectation is for feedback and mentoring for coaches.
• Maintain athlete records to include physical forms, accident reports, and discipline reports, concussion forms, and signed copies athletic contracts.
• Lead member of the state mandated concussion management team The expectation is that this is held two times a year.
• Responsible for having a certified athletic trainer under contract to work home events.
• Maintain all athlete records for three years.
• Monitor all teams’ inventory and storage facilities.
• Act as tournament manager for all district and region playoff activities assigned to our school.
• Maintain an active program that promotes sportsmanship, academic, and athletic progress for our athletes.
• Build relationships with our community to include parents and business leaders. Ensure that there is a parent meeting for each season and that it is mandatory for parents to attend. Plan in place for parents who do not attend.
• Attend state, regional, district, and national meetings to keep our program on a track to success.
• Volunteer to be on state, region, or district committees to keep our program going in the right direction.
• Create, revise, and implement a Vision for the future of King William Athletics. Use the Inside Out Initiative or another program to help determine our athletic programs' future.
• Continue to engage in professional development opportunities to ensure knowledge of policies and procedures that change.
• Supply training opportunities for coaches to keep their knowledge current and make sure they pass all the VHSL standards within their first 3 years. Mentoring program for all coaches.
• Recruit and retain coaches to keep a fully staffed athletic department.
• Set up college signing days for athletes continuing to their sport at the collegiate level.
• Schedule and train event workers for ticket sales, door monitor, and crowd awareness.

 

Other leadership responsibilites:

 

1. Responsible for scheduling and performing the physical set up and take down of graduation.
2. Organize parking attendants and park cars for graduation.
3. Schedule set up and take down of convocation ceremonies.
4. Provide and setup/take down items needed for meetings held at the high school.
5. Maintain the teacher 6 day log of athletic events worked.
6. Gather needs and place for approval the P.E. department supply order.
7. Schedule facilities use requests for outside community events which includes setting up for these events. The athletic director will be the lead contact for outside events held at KWHS.
9. Responsible for setting up repairs of facilities with operations director.
